Questions about our seminars

How do I book a seminar at FRIEDRICHSBAD?

 

For your seminar bookings there are a range of possibilities availible:

 

  • Book online: Use the booking assistant on our web portal for your seminar bookings. The assistant guides you step by step through the booking process. Change to the seminar search and start with the booking . (More information about online booking can be found in your FAQ area "Technical questions about the ISM ACADEMY web portal").
  • Book by Fax: Use the fax registration form on the back of our printed seminar program or of the Friedrichsblatt, or download the registration form here:  Download Fax Registration.
  • Booking by post or by email: Send us your seminar bookings by post to the ISM ACADEMY GmbH, Otto-Hahn-Str. 19, 44227 Dortmund or by email to info@ism-academy.de.
    To carry out your booking we require your contact details stating the full company name and company address, the desired seminars with the respective seminar number and date, as well as surname, name, email address (optional) and the phone numbers of the participants.
    The catering for participants as the seminar is obligatory and is booked automatically. If accommodation, arrival on the previous evening, and/or accommodation after the seminar are requested, please state this explicity in your booking.

Seminar registrations have to be made in writing or online via this web portal. Of course you can reserve in advance over the phone.

 

Where do the seminars take place?

Our open seminars take place in selected conference hotels in the mid-level and upper-level category. The concrete venue is stated explicitly for each seminar date. In addition to that you will receive a written confirmation of registration subsequent to your booking, on which the booked seminar(s), venue, conference hotel with full address and directions, as well as the booked lodging services are listed.

In-house seminars can take place in appropriate conference rooms in your company, or in a conference  hotel. Should you prefer the external variant, we are happy to organize the facilities for you. In the case of an implementation  in facilities in your company, we would provide the required conference equipment for the duration of the seminar free of charge.
 

When do seminars start/end?

All open seminars start at 10 am on the first day and at 9 am on the subsequent days. Usually seminars end at 5.30 pm and at 1 pm on the last day, if the last day is a half day. 

At in-house seminars you can decide on the seminar times individually.

Which topics are covered in my seminar?

You can look up the seminar contents anytime on the internet or in the printed version of our seminar program. For online-bookings you will automatically receive access data to your personal client centre, in which all information about your booked/attended seminars are summarized.

On the page seminars/degree courses you will also see the box "Straight to the seminar" in which you can enter your booking number to go straight to the particular seminar. The booking number can be found on your registration confirmation and invoice

Alternatively you can find the seminar description via the seminar search, by entering the respective seminar title.

 

How many people take part at a seminar/training?

We prepare every seminar/training with regard to content and organization very well. Part of this is that we have to limit our number of participants.

At seminars where the focus is on imparting knowledge, the maximum number of participants is 20, at trainings (e.g. rhetoric training, distribution training, cooperation- and communication training etc.) the maximum number is 12.

From our experience  the optimal number of participants for efficient seminars and trainings lies between 8 - 14 people, although can vary depending on the particular topic.

If the applications for a particular seminar exceed the maximum number of people feasible for this particular event, the seminar will be split and a further trainer will be appointed. Date and venue usually stay the same.

What costs incur when booking a seminar?

The fees of an open seminar can be found in the seminar overview and in our printed seminar program. All stated fees are net costs. On top of this comes the value-added tax, as well as the lodging costs for participants and if applicable, costs of accommodation, arrival on the previous evening and accommodation after the seminar is over.

Do I have to book my lodging in the hotel myself?

No. When booking an open seminar you indicate which lodging services you wish. Catering is always obligatory which means that a seminar cannot be booked without. However, booking accommodation during, before or after a seminar is optional.

Based on the requests you state in your seminar booking, we book all requested lodging services in the partcular hotel. You will receive a registration confirmation from us on all booked services as well as an invoice which includes seminar fees and lodging services.

This means: Your contact person for seminar and hotel is ISM ACADEMY. You receive the complete service from us.

Questions about our conference hotels

Do I have to book my lodging in the hotel myself?

Which hotel services are included in the ISM ACADEMY-conference packages?

The services included in our conference packages can be found on the page Venues/Conference Packages. Any services exceeding this, e.g. snacks from the mini-bar, phone bills, not included additional meals and drinks, parking fees, etc., are to be settled with the hotel by the seminar participant.

Which concrete lodging services are booked for you can be seen on your registration confirmation/invoice.

Where do I find the adress/directions to my conference hotel?

The complete directions to your conference hotels as well as a map with a route planning option can be found at Venues/Conference Packages.

You can also find this information on your registration confirmation which will be sent to you automatically by post as well as in your personal client centre, in which all information about the seminars that you have booked/attended are summarized.

You will receive access data for your client centre automatically upon receipt of your first seminar booking.
 

Are there handicapped accessible rooms in my conference hotel?

Our conference hotels have a limited number of handicapped accessible rooms. Should you require a such room, please inform us early, i.e. when booking the seminar, due to the limited number of handicapped accessible rooms.

Questions about in-house projects

We are planning in-house seminars in our company. How do I get a qualified offer?

The easiest way to request a qualified in-house offer is by using the assistant for in-house offers.

Alternatively we would like to offer you a preliminary talk free of charge, either in person or over the phone to answer any questions you may have. Which in-house services does ISM ACADEMY offer?

We can carry out any of our open seminars, trainings, certificated courses or our Bachelor degree course for you in-house.

You decide whether to make use of the structure or contents of a particular event from our open offers, or whether you prefer a customized concept.

Contents and focus will be discussed with you and devised according to your operating requirements. Dates, duration, type and scope of the planned event can be agreed on individually.

Furthermore we offer a wide range of topics in-house, that you won't find in our open offer. Among these are seminars and workshops on specific topics, as well as coaching, economic mediation, analyses of potential, need for further education analyses, and professional managed training service for companies..

What costs arise out of the planning and implementation of in-house measures?

The compilation of an in-house offer including the according concepts for the planned measures is free of charge and non-binding for you. A preliminary talk in person or over the phone is also free of charge.

Further meetings and target group workshops will be charged depending on time and effort. These charges can be agreed on beforehand.

The measure itself will be charged based on the hourly and daily rates (additional travel costs) stated in the offer and in case of an external implementation in a conference hotel, the lodging costs of the participants. All costs to be expected will be stated clearly in your individual in-house offer. That way there will be no unpleasent surprises.

Where can in-house seminars be held?

In-house seminars can be held in appropriate conference rooms in your company, in conference hotels, or in the conference rooms at ISM ACADEMY, according to your wishes an depending on the type and scope of the measures. These measures could take place in Germany but also abroad - there are no restrictions.

In case of an external implementation in hotels, ranging from the complete organization to the settlement of hotel and lodging services, can be organized by ISM ACADEMY, should this be desired. Alternatively you can of course take care of this yourself.

Questions about the web portal www.ism-academy.de

I would like sign up one or more participants for your seminars via the web portal. How to I do this?

Select seminars/articles
First, put the seminars with the desired dates that interest you, or for which you would like to sign up participants, with a click on the button "Book" in the shopping basket. You can put as many seminars and articles from our shop into your shopping basket as you like and later edit these by clicking on the shopping basket information.

Seminars which you have put into your shopping basket will be marked with a. Even when you sign up more than one participant for a seminar, you only have to put the respective seminar into the shopping basket once. The participant information will be requested automatically later on.

View and edit shopping bas
When you have selected all seminars and articles that interest you, click on the shopping basket symbol or on the button "View Shopping Basket" in the shopping basket information on the right side at the top of the website.

In the shopping basket, you have the option to check, edit or delete the seminars and articles that you have selected.

To confirm the selection in your shopping basket, click on the button "Confirm shopping basket and continue"

Start up seminar booking-assistant
Now the booking assistant will start up, which will guide you step by step through the entire booking process. Here you can specify the number of participants that would like to sign up, for each seminar separately. You can also store the participant data here and define the desired lodging services for each participant.

If you are not already registered on the system, you will be asked to enter your login data or register as a new customer. If you are already registered on the system, the booking assistant will start up automatically.

You have now the option to allocate the selected seminars to the participants. Staff members of your company that have already attended FRIEDRICHSBAD seminars in the past, can be selected from a drop-down menu.

For staff members that have not been at any our seminars for far, please fill out the indicated form.

The participants signed up for each seminar will now be displayed and you can edit the desired lodging details for each participant. Meals for participants are obligatory and cannot be dropped, i.e. the seminar is always booked including meals. Now you can book additional services such as overnight accommodation, arrival on the evening prior to the seminar, postseminar overnight accommodation or special smoking rooms.

To save changes in lodging services please click on the symbol.

To confirm the lodging services for the participants, click on the button "Save participant data and continue with step 3".

Check and confirm literature recommendations and articles from our shop
This system enables you to view and edit the literature recommendations to the seminars that you have booked (as far as there are literature recommendations existing for these seminars), as well as the articles that you have selected from our shopping area. If you want to purchase one or more of the recommended books, please click on the quantity field and enter the number of copies you wish to purchase of this book.

Usually the entered quantity is the same as the number of participants that you have signed up for the seminar. Please click on the symbol again of the requested book in order to add it to your shopping basket. .

If you do not want to purchase any of the literature recommendations, and do not have any shop articles in your shopping basket you don't have to do anything here.

When you are finished with editing your shopping basket, click on the button "Save article data and continue with step 4".

Check order overview and confirm booking/order
Again, you will receive an overview of all seminars that you have booked, the associated participant data and lodging data, as well as further articles from our shopping area to check your bookings and orders. Up to this point you still have the opportunity to make changes by clicking on the "Back" button.

When you are ready to confirm your bookings and orders, please click on the "Booking data OK - confirm" button. Your booking and/or article oder is now completed. You will receive an automatic booking/order confirmation by email. All further documents such as registration confirmations and invoice will be sent to you by post. This way your booking/order becomes binding and the conditions documented in our General Terms and Conditions apply.

I had to break off the booking process that I had started. Will I now have to re-enter everything?

No. As soon as you register on the system with your login data, all open booking processes and shopping basket information will be saved on our server. These will be availible even after an interruption and new login onto the system.

You can continue bookings and orders that you have started before without a problem, as soon as you find the time.

We suggest to always log onto the system, before adding items/seminar bookings to your shopping basket. This way we can guarantee that all entered data will not be lost should there be an interruption.

If you break off a session with a filled shopping basket without being registered on the system, the data that you have entered can in most cases be made availible with a renewed registration onto the system. However, depending on the settings of your company firewall and of your work computer we cannot guarantee for this.

Which options does the ISM ACADEMY web portal offer?

Our new web portal www.ism-academy.de is not a website like any other. In particular the components found in the background are significant of the portal.

Among these are tools for further training management, innovative assistants for your seminar bookings or in-house requests, modern search algorithms to help locate training that meets your needs or locate the preparation or most-processing of seminars in your personal client centre.

Due to the increasing international requests for further training, the whole website is also availible in English.

To make use of the full functionality of the web portal, you will have to log in as a client, or if you are a new client, register.

What is the ISM ACADEMY client centre?

All registered ISM ACADEMY clients have access to a personal client centre with many additional functions.

For example you can view your current and previous bookings, copies of invoices and confirmations of registration, the account balance of your client account as well as cancellation or rebooking conditions for running process in our General Terms and Conditions (e.g. replace participants, amend lodging services for already registered participants, select substitute dates because a participant cannot attend at the originally booked date etc.)

In addition to this you can view the pin board minutes and seminar documents of the seminars that you have attended or download a copy of your participant certificate.

Due to data protection reasons you can only view booking processes in your client centre that you have completed yourself.

However, if you are a personnel development manager for example and responsible for all further training activities in your company, you can request further authorization from us.

With this authorization you will be able to view all booking processes that your company has made at ISM ACADEMY, irrespective of who has made the booking at your company. This authorization can take place through a written legitimization.

I would like to plan further training via my personal client centre, without obligation. How do I do this?

First log onto the ISM ACADEMY web portal using your access data, then change to your personal client centre.

In the client centre, click on the "Seminar overview" link, which can be found in the client centre navigation on the left side of this website. Now you can compile so-called further training plans for yourself, or -if you are responsible for further training activitites at your company- for other people.

Specify whether you are planning open or in-house measures, when these measures are to be implemented, and who will take part.

Once saved, these further training plans are available every time you log in. The system will automatically remind you of your plans, for example when an appropriate seminar is being offered in the requested time frame or it offers you to compile a qualified in-house offer with the help of our assistant for in-house offers, when the planned time frame for the measure is approaching.

I would like to make a participant exchange for a booked seminar in my personal client centre. How do I do this?

First log onto the ISM ACADEMY web portal using your access data, then change to your personal client centre.

In the client centre, click on the "Seminar overview" link, which can be found in the client centre navigation on the left side of this website.

In the middle of the website you will now see all bookings that you have made.

I would like to change the dates for a seminar that I have booked in my personal client centre. How do I do this?

First log onto the ISM ACADEMY web portal using your access data, then change to your personal client centre.

In the client centre, click on the "Seminar overview" link, which can be found in the client centre navigation on the left side of this website.

In the middle of the website you will now see all bookings that you have made.

I would like to change the lodging services that I have booked for one or more of the participants in my personal client centre. How do I do this?

First log onto the ISM ACADEMY web portal using your access data, then change to your personal client centre.

In the middle of the website you will now see all bookings that you have made.

I want to view the current balance of my client account in my personal client centre. How do I do this?

To view your account balance in your personal client centre you need further authorization. 

Due to data protection reasons you can only view booking processes in your client centre that you have made yourself, therefore your account balance may be incomplete.

However, if you are a personnel development manager for example and responsible for all further training activities in your company, you can request further authorization from us.

With this authorization you will be able to view all booking processes that your company has made at ISM ACADEMY, irrespective of who has made the booking at your company. This authorization can take place through a written legitimization. This form for this legitimization can be downloaded here. Questions about invoices/or credit notes

When are invoices of booked seminars or in-house measures issued and what are the methods of payment?

Open seminars

Invoices for open seminars are issued immediately upon receipt of your seminar booking. You will receive the registration confirmation and invoice by post. The payment of the invoice is due 14 days before begin of the booked seminar, in the case of bookings at short notice, the payment in full is due before begin of the first seminar at latest.

In-house measures

For in-house seminars, coaching, or other in-house measures, the payment in full is due within 14 days after billing date, which is issued after the implementation of the respective measure(s), unless otherwise agreed in writing.

I have questions about my invoice or credit note. Who may I contact?

For questions regarding accounting please contact Julia Friedrich at +49 (0)231.97. 51 39-977 or send an email to julia.friedrich@ism-academy.de. Please have your invoice number or credit note number, as well as your client number ready. This information can be found at the top right side of your invoice/credit note.

What happens when I have already settled an invoice but then the seminar gets cancelled by ISM ACADEMY?

In this case you will be informed immediately about the inevitable cancellation of the seminar and we will submit appropriate alternative suggestions, i.e. inform you about the next possible implementation date of the booked seminar.

You will receive a credit note on the already settled invoiced amount and you can decide whether you would like to leave this credit balance on your client account for subsequent bookings or whether you would like the full refund transferred back.

If you leave the amount on your client account, we will resort to this credit at future bookings. Of course you can request the full refund to be paid out anytime. Simply call us at +49 (0)231.97. 51 39-975 or use the relevant function in your personal client centre.

I would like to view the current balance of my client account. Is this possible?

Yes it is possible to view your client account. Please contact us in written form stating your client number, adressing this to ISM ACADEMY GmbH, Ms Julia Friedrich, Accounting, Otto-Hahn-Straße 19, 44227 Dortmund or send us an email to julia.friedrich@ism-academy.de.

Alternatively you have the option to view the current balance of your client account in your personal client centre, insofar you have the required authorization rights.

Can seminar fees and lodging services be issued on separate invoices?

By default you receive an invoice from us on which the seminar fees and costs of lodging services are issued separately.

Of course it is also possible to issue separate invoices for seminar fees and costs of lodging services.

Should you prefer separate invoices, please indicate this on your seminar booking or send us an email and we will store the request for separate invoices permanently in our booking system.

Can seminar fees and costs of lodging services summarized into a total amount on the invoice?

By default you receive an invoice from us on which the seminar fees and costs of lodging services are issued separately.

Of course it is also possible to issue the invoice with the total amount only, which covers the seminar fees as well as the costs of lodging services.

Should you prefer an invoice with the total amount only, please indicate this on your seminar booking or send us an email and we will store the request for separate invoices permanently in our booking system.

Questions about the rebooking of seminars and/or lodging services

I would like to rebook an already booked seminar onto another date. How do I do this?

Please inform us about your rebooking requests stating your invoice number and client number as well as the requested new seminar date in writing - by email, fax or post. Alternatively you can do the rebooking yourself in your personal client centre.

Up to three weeks before begin of the seminar this rebooking is free of charge.

If the rebooking occurs within three weeks before seminar begin, 50% of seminar fees and 80% of costs of lodging services will incur.

After a successful rebooking you will receive a rebooking confirmation from us and if applicable, a cancellation fee and/or if there variations in prices a differene invoice or credit note.

I would like to sign up a substitute participant for an already booked seminar. How do I do this?

Bookings for substitute participants for the same seminar and date are free of charge up to the last working day before begin of the seminar. Please inform us about amended participant information by phone or by email stating the invoice number and client number.

Alternatively you can do this participant exchange yourself in your personal client centre.

I would like to change the lodging services for an already booked seminar for one of the participants. How do I do this?

You can change the already booked lodging services for a registered participant, if the desired lodging services are availible in the conference hotel. For example booking an accommodation for one of the participants subsequently is only possible if there are still vacant rooms availible at the hotel.

Please inform us about any changes you would like to make to your booking by phone or by email, stating your invoice number and your client number or make the desired changes yourself in your personal client centre.

If the rebooking is successful, you will receive a confirmation of rebooking from us and if applicable, an invoice for additional/a credit note for reduced lodging services.

For a reduction of lodging services within 3 weeks before begin of the seminar, cancellation fees of up to 80% of the originally booked conference package can incur.

Questions about the cancellation of seminars/orders

I would like to cancel a seminar. How do I do this?

Please inform us about cancellations in writing or make cancellations yourself in your personal client centre.

Within 3 weeks of begin of the seminar, 50% of the seminar fees and 80% of the booked lodging services will incur as cancellation fees. Cancellations before this deadline are free of charge.

By replacing a participant you can avoid cancellation fees, as bookings for replacement participants for the same seminar are free of charge up until the last working day before the begin of the seminar.

Please inform us about changed participant information either by telephone or by email, stating your invoice number and your client number.

Alternatively you can replace participants yourself in your personal client centre.

ISM ACADEMY had to cancel a seminar, for which I had registered, due to organizational reasons. What happens now?

In this case you will be informed immediately about the inevitable cancellation of the seminar and we will submit appropriate alternative suggestions, i.e. inform you about the next possible implementation date of the booked seminar.

You will receive a credit note on the already settled invoiced amount and you can decide whether you would like to leave this credit balance on your client account for subsequent bookings or whether you would like the full refund transferred back.
